Manage your Orchestrate subscriptions, licenses, and billing
The Subscriptions page brings your Orchestrate plan, support plan, licenses, billing information, and invoices into one place. You can review and change your plans, purchase additional licenses, manage billing information, and view your invoices.
Availability: This page is available to customers using self-service billing. If your organization has a custom agreement with billing managed by our Operations team, you will not see this page.
Please contact your usual account or billing contact for subscription changes and billing questions.
Open your subscriptions
Select Subscriptions from the left-hand menu.
If you have access to multiple organizations, check the organization selector at the top of the page before making changes.
The numbered areas in the screenshot show where to find each feature:
| Reference | Area | What you can do |
|---|---|---|
| 1 | Subscriptions | Open your subscription and billing overview. |
| 2 | Orchestrate Plan | Check your current plan and next renewal, and access the available plan-change action. |
| 3 | Licenses | Compare licenses in use with your total and select Purchase to buy more. |
| 4 | Support Plan | Check your support plan and next renewal, and access the available plan-change action. |
| 5 | Billing & Payments | Check your default payment method and billing email, and select Manage to access billing management info and details. |
| 6 | Invoices | Review invoice dates, descriptions, statuses, and amounts, and select View to open an invoice. |
The screenshot shows an organization with the Premium Orchestrate plan and Enhanced support plan. Your organization’s plans and available actions may differ.
Review or change your plan
Your Orchestrate Plan and Support Plan appear in separate cards. Each card displays the current plan and its next renewal date.
To access a plan change:
- Find the plan you want to change.
- Select the available action on that card, such as Upgrade.
- Review the information presented before completing the change.
Before proceeding, make sure you understand the effective date, any billing adjustment, and any changes to features or support coverage. If these details are unclear, contact Help & Support.
Check your licenses and purchase more
The Licenses card displays:
- In Use: The number of licenses currently being used equals the number of devices registered in Orchestrate
- Total: The total number of licenses your organization has.
The difference between these values shows your remaining license capacity. For example, if In Use and Total both show 7, all seven licenses are in use.
To purchase additional licenses:
- In Licenses, select Purchase.
- Follow the purchase flow and review the quantity and pricing shown.
- Complete the purchase, then return to Subscriptions to check your license total.
If the total does not reflect a completed purchase, refresh the page. If it still appears incorrect, contact Help & Support before submitting another purchase.
Manage billing and payment information
The Billing & Payments card shows your organization’s default payment method and billing email.
Select Manage to open the billing management portal and access your account information, such as credit card details or other payment methods.
After completing a change, return to Subscriptions and check the information displayed. If it does not reflect your change, refresh the page.
View your invoices
The Invoices section lists the date, description, status, and amount for each invoice.
To open an invoice:
- Find the relevant invoice in the list.
- Select View in the Invoice column.
- Review the invoice details and any available actions.
When asking for help with a charge, include the invoice number or reference, if available, so the support team can identify it.
Frequently Asked Questions
What is the difference between my Orchestrate plan and my support plan?
Your Orchestrate plan identifies your product subscription. Your support plan identifies your support subscription. They are displayed separately, so check the relevant card when reviewing a plan or accessing a change.
Where can I find my next renewal date?
The next renewal date appears beneath the plan name in each subscription card. Check both cards when reviewing your subscriptions.
How do I know whether I have licenses available?
Compare In Use with Total in the Licenses card. If the values are equal, all your current licenses are in use. Select Purchase if you need additional licenses.
When will a plan change take effect?
Check the effective date presented during the plan-change process. Do not assume that a change takes effect immediately or at your next renewal. If the timing is not clear, contact Help & Support before completing it.
Will changing my plan or purchasing licenses change my bill?
Review the pricing and billing information presented for the change before completing it. For questions about a charge, open the relevant invoice using View and contact Help & Support if you need clarification.
Will I pay the full price for licenses purchased during my billing period?
No. Additional licenses purchased during your current billing period are prorated. You pay only for the time remaining between the purchase date and the end of your current contract period, rather than the full-period price.
The additional licenses align with your existing renewal date.
Will my subscription renew automatically?
Yes. If you pay using an online payment method, your subscription renews automatically using your saved payment method.
You’ll receive a renewal reminder email 45 days before your renewal date, along with a billing note detailing the payment due. When your renewal is due, payment is collected automatically using your saved payment method.
After 30 days your subscription expires, you won't be able to sign in. To resume the service and access the Subscriptions menu, contact Amino Sales or Operations to complete payment through the payment-recovery link. An Organization Owner or Commercial Manager must manage these billing actions.
What happens if I do not resolve the payment within 30 days?
If payment is still unconfirmed you can still login during the 30 days grace period.
What happens if my renewal payment fails?
If your renewal payment fails or remains unpaid after your renewal date, access to Orchestrate’s features is restricted.
For 30 days after your subscription expires, you can still sign in and access the Subscriptions menu to update your payment details or complete payment through the Stripe payment-recovery link. An Organization Owner or Commercial Manager must manage these billing actions.
Once payment succeeds, your access to Orchestrate is restored.
Can I downgrade my plan or reduce my license quantity?
Yes. You can schedule a reduction in your license quantity or a plan downgrade to take effect at the end of your current billing period. Your current plan and license quantity remain available until then.
Plan downgrades must be scheduled at least 30 days before your renewal date. Once you are within 30 days of renewal, you can no longer schedule a downgrade for that renewal.
How are new sub-organizations billed?
You can create new sub-organizations, each with its own separate subscription. Every new sub-organization requires a paid Starter or Premium plan.
The payment details are linked to the parent organization, so you do not need to provide separate payment details for each sub-organization.
Who can manage subscriptions and billing?
Only users with the Organization Owner or Commercial Manager role can:
- Upgrade or downgrade plans.
- Purchase additional licenses or schedule license reductions.
- Manage billing and payment information.
If you need to make a change and do not have one of these roles, contact your organization’s Organization Owner or Commercial Manager.
Where can I manage my payment details?
Select Manage in Billing & Payments to access the billing options available for your account.
Where can I check whether an invoice has been paid?
Check the Status column in Invoices. Select View to open the invoice and review its details.
What should I do if a payment fails?
Open the relevant invoice and review any payment information or instructions shown. You can also select Manage under Billing & Payments to review the available payment options. If you cannot resolve the issue, contact Help & Support.
Why can’t I see Subscriptions or the action I need?
If your organization has a custom agreement with billing managed by our Operations team, the Subscriptions page is not available. Please contact your usual account or billing contact for assistance.
If your organization uses self-service billing, check that you have selected the correct organization. Only users with the Organization Owner or Commercial Manager role can change plans, purchase licenses, or manage billing and payment information.
If you have one of these roles and still cannot access the action you need, contact Help & Support.
What if a purchase or billing change does not appear?
Refresh the Subscriptions page and check that you are viewing the correct organization. If the information still looks incorrect, contact Help & Support with the details of the change and any confirmation or invoice reference you received.
How do I get help with a billing issue?
Select Help & Support and open a support ticket in the top right menu under the Digital Signage form.
Include:
- Your organization’s name.
- A description of the issue and what you were trying to do.
- The relevant invoice or purchase reference, if available.
- The date of the transaction and any error message.
Do not include your full payment card number or card security code.
